Licenses are usually the smaller part of the bill. Implementation services typically cost one to three times the first-year software fee, with a median of 1.5 to 2 times. For a small business with up to 50 users, ERP implementation cost usually falls between $25,000 and $150,000.

Start with users × price per user

Cloud ERP is priced per user per month, so the first number to work out is software for one year.

Software List or quoted price Per user, first year
Dynamics 365 Business Central $80 (Essentials) to $110 (Premium) per user per month $960 to $1,320
SAP Business One, subscription $100 to $185 per user per month $1,200 to $2,220
NetSuite $99 to $199 per user per month, plus about $999 per month for the base license $1,188 to $2,388
SAP Business One, perpetual license $1,350 to $5,500 per user, once $1,350 to $5,500

Business central pricing is the only one in the table published as an official list. NetSuite pricing is not published, so those figures are quotes reported by implementation partners, and the SAP Business One cost comes from partner price lists; the entry-level Starter license is capped at five users.

For 25 users on Business Central, ERP software cost in year one comes to $24,000 to $33,000. Add the implementation project and the default estimate above lands at $49,000 to $183,000.

Where the ERP implementation cost goes

The implementation range above is meant to cover the whole project, but it leaves out ongoing annual subscription and support. The software line in the calculator covers that first year. Published ranges do not always say whether first-year licenses are already included, so the two may overlap a little.

Most of that money pays partners. The systems integrator takes 40% to 55% of a small business project, and North American erp implementation consultants bill $150 to $350 an hour. Other line items:

Custom integrations and staff time are optional lines in the calculator because they vary so much from one company to the next.

Size changes everything

The calculator stops at 50 users. Past that point, published ranges jump:

Company Users Implementation Timeline
Small business 1 to 50 $25,000 to $150,000 2 to 6 months
Mid-market 51 to 250 $150,000 to $750,000 4 to 12 months
Upper mid-market 500 to 2,000 employees $500,000 to $2,000,000 8 to 18 months
Enterprise 2,000+ employees $1,500,000 to $5,000,000+ 12 to 36 months

Over five years, industry surveys put the average budget at about $7,200 to $9,000 per user.

Plan for the overrun

A 2026 industry survey found about 30% of ERP projects over budget, and by the broadest measure more than 70% miss at least some of their goals, the widest way to count a failed erp implementation. Hold 10% to 20% of the budget in reserve.

Rules of thumb based on revenue do not agree with each other: estimates range from 1% to 2% of annual revenue for a small business up to 3% to 7%. We would not budget on either one.

After go-live

Cloud subscriptions renew every year at the per-user rates above. On-premise licenses come with annual maintenance instead, usually 18% to 22% of the license price. Either way, the ongoing ERP cost should be part of the decision, not only year one.
